Rental Policies
Please take a moment to read the
following important information. It will be helpful when booking reservations
with Lancelot’s Castles Vacation Home Rentals.
Damage Deposit
All of our properties require a $500
refundable damage deposit, and must be paid upon booking. Provided there are no
damages, forfeitures or excessive cleaning charges, the damage deposit will be
refunded to you within fifteen (15) business days of your departure date.
Cleaning Fee
All of our properties require a
departure cleaning fee to be paid by our Guests. The fees vary on each
individual property, but range from $125 to $200. This fee is paid at time of
booking and is non-refundable. While linens and bath towels are included with
your rental home, daily maid service is not. Our properties are professionally
cleaned prior to your arrival and after your departure.
Rates
Rates are based on nightly (3-night minimum) and weekly (7-night minimum) stays. Higher rates do apply to holiday periods and Sports Weekends such as Easter, 4th of July, TPC, Thanksgiving and Christmas, etc.. Monthly rates are available at many properties on a seasonal basis. Please call for specific details.
Payments
We accept Visa, MasterCard, American
Express and Discover credit cards. It is important to note that we do charge a
1.5% processing fee on the total charge amount, when using a credit card. Other
acceptable methods of payment include personal check, cashier’s check,
certified check or money order. Checks should be payable to Lancelot’s Castles.
All payments must be made in US Dollars. There is a $25 handling fee for all
returned checks.
Reservations made more than sixty
(60) days prior to arrival date, will require the $500 damage deposit along with 25%
of the reservation total within five (5) days of booking. Any remaining monies
due, must be paid in full sixty (60) days prior to arrival.
When booking less than sixty (60)
days prior to arrival, the $500 damage deposit, along with the total amount due
must be paid within five (5) days of booking.
When booking less than fifteen (15)
days prior to arrival, the $500 damage deposit, along with the total amount due
must be paid within two (2) days of booking. At this point, all payments must
be in the form of cashier’s check, certified check, money order or credit card.
No personal checks will be accepted when booking less than fifteen (15) days
prior to arrival.
Check-In/Out & Arrival
We personally greet all of our Guests
at the property on the day of arrival; please contact us at least 24 hours in
advance to notify us of your approximate arrival time.
Check-In time is 4pm; check-out time is
11am. Every effort is made to accommodate your schedule; depending on bookings,
it is possible to alter your check-in and check-out time in the event it does
not interfere with another Guest’s arrival or departure. Please notify us well
in advance if you will need to modify either the check-in time or check-out
time and we will do our best to accommodate.
Our preferred arrival times for the
day of your check-in are between the hours of 4 pm – 6pm, unless otherwise
arranged in advance.
Keys must be returned to Lancelot’s
Castles at the Keller Williams Realty office located at 4116 Third Street South
| Jacksonville Beach, FL 32250 by 11 am on the scheduled day of your departure,
unless other arrangements have been made in advance.
Age Requirements & Occupancy
Our portfolio of vacation home
rentals are for family vacations only, we gladly rent to families or
responsible adults over the age of 25 years old. Singles under the age of 25
years of age are prohibited unless accompanied by parent or legal guardian. Lancelot’s
Castles has a “No-Group” policy, which includes but is not limited to the
following: school, spring break, prom, graduation, wedding receptions, etc.
Absolutely no house parties, events, receptions or kegs! If in violation after
occupancy, all monies paid will be forfeited, and Guests will be required to
vacate the rental property.
The normal occupancy for our
properties is as follows: four (4) to six (6) Guests in a two bedroom, six (6)
to eight (8) Guests in a three bedroom. This will vary by each properties
accommodation set-up.
Only persons listed on the Occupancy
Form at time of booking may occupy the rental.
Minimum Stay
We require a three (3) night minimum
stay on nightly rates and a seven (7) night minimum on weekly stays. For weekly
bookings, we prefer a Saturday to Saturday stay; however, we will do our best
to accommodate a different stay to suit your needs.
Parking
Our rental properties do prohibit the
on-site parking of recreational vehicles, personal watercraft (boats, trailers,
jet skis, etc.) and/or do restrict the number of automobiles per rental unit.
The majority of our rentals allow a maximum of two vehicles, but in some
instances will only accommodate one vehicle. Please ask your reservation agent
to inform you of your chosen property’s parking regulations prior to making
your reservation.
***Please Note for the Acquilus and Acquilus II buildings,
parking, stopping, loading/unloading is strictly prohibited in front of the
entry doors on the breezeway level as well as the garage level. You must park
your vehicle in its assigned spot or assigned garage and load/unload from
there. There is a $100 fine if this violation occurs. It should also be noted that
at these two buildings, the North gate is for entry and the South gate is for
exiting. Please do not enter or exit from the opposite side, as there is also a
$100 fine for this action as well. ***
Pet Policy
We know you love your pets, but pets
are permitted only in select pet approved properties with advance reservations
and a non-refundable pet fee of $250. None of our oceanfront rentals allow
pets.
Vacation Property Furnishings
Each of our vacation properties are
privately owned and are furnished according to the owner’s taste. Neither
Lancelot’s Castles nor the owner will be obligated to provide additional
furnishings or equipment not presently available in the unit. All of the
properties are stocked with a minimum supply of plates, glasses, cookware,
utensils, small appliances, etc.. If you may require something in specific,
please ask your reservation agent to verify if you will need to bring any
additional items.
Internet/Phone/Cable
All of the vacation rentals are
equipped with internet, some with wireless. Phone service is available for
local calls. Long distance calls are the Guests expense, you can use any phone
card, VISA, MasterCard, etc. to charge. Basic cable is provided in all
properties.
Supplies
An initial supply of paper products,
soap, dishwasher detergent, laundry detergent and basic cleaning supplies ARE
provided in the properties.
Beach Towels/Chairs/Equipment
While beach towels are available in
most of the vacation rentals, we do recommend that you bring extra for larger groups.
Washer and dryers are available in all of our rental homes.
While some owner’s units do have
beach chairs and bikes, Lancelot’s Castles nor the Owner is responsible for
their maintenance and upkeep. Neither Lancelot’s Castles nor the Owner is responsible
for any injuries incurred as a result of our Guests using them.
Lancelot’s Castles strongly advises
that you utilize the services of Rent Beach Stuff (www.RentBeachStuff.com) who offers
just about anything imaginable you will need for your beach stay including
chairs, umbrellas, bikes, etc. Just mention Lancelot’s Castles and receive a
10% discount off your rental. They will deliver and pick up directly to your
vacation rental.
Guest Services
We provide a Guest Information Manual
in each of the vacation rentals that provides specific instructions for your
rental home. This manual will also provide you with local information on
attractions, restaurants, grocery stores, etc.. The book will also provide you
with information on having prepared meals delivered to your vacation rental
throughout your stay utilizing the services of Coastal Catering ExPress, (www.CoastalCatering.biz). You may
also feel free to call us at any time during your stay with additional
questions or for additional information.
Cancellation Policy
Cancellations made on or prior to 30
days before arrival, you will receive a full refund of all monies paid less a
$200 cancellation fee.
Cancellations made on or prior to 15
days before arrival, and we are unable to re-rent the property for the same
time period, we will refund 50% of all monies paid less a $200 cancellation
fee. If we are able to re-rent the property for the same time period, we will
refund all monies paid, less a $200 cancellation fee.
Cancellations made on day of arrival
or early departures after check-in or no-shows will result in a 100% loss of
all monies paid including the damage deposit.
Lancelot’s Castles requires that all
cancellations be in writing and faxed to 866-422-3967.
Hurricane Policy
During hurricane season (June 1st
– November 30th), our Refund Policy is as follows:
After
Arrival
If a government agency orders an
evacuation of the area in which your vacation rental is located due to a
hurricane or if electrical power is lost for more than 24 hours due to
hurricane conditions, Guests will be asked to vacate the Property and a refund
for time not used will be provided.
Prior
to Arrival
In the event a hurricane warning is
issued by the
Advanced Tentative Reservations
During your vacation, you may make
plans to reserve a vacation rental again for next year. Simply stop by or call
us to “hold” your desired dates for next year. We will place a 15-day tentative
reservation on our calendar for those dates. If after the 15-days, you
decide not to book, just simply let us know! Please note that your $500 deposit
will be held towards the tentative reservation.
